Why reactive cleaning costs more

Commercial carpet fails in a predictable pattern: entrances and traffic lanes ugly out first, the tenant or owner notices, and a restoration clean gets booked — too late to reverse fiber damage from months of ground-in grit. Facilities that flip to scheduled maintenance spend less per year than reactive cleaners and replace carpet years later. The math isn't close: carpet replacement costs 20–40 times more per square foot than cleaning it.

The two-method system

Programs run on the pairing explained in our methods guide: low-moisture encapsulation on the recurring schedule (dry in under two hours — cleaned at midnight, open at 7 AM) and periodic hot water extraction to reset the carpet deeply once or twice a year. Entrances and elevator lobbies get cleaned at a multiple of the general schedule, because that's where the soil enters.

Matching frequency to your building

Offices: monthly or bi-monthly encapsulation for lobbies and corridors, quarterly for open floors, extraction annually. Restaurants: monthly minimum for dining rooms, with degreasing built in — coffee and food service are their own war, per our coffee guide. Retail: driven by door counts, typically monthly in season. Medical and schools: extraction-forward schedules for hygiene, with documentation.

What belongs in the agreement

Locked per-visit pricing for the contract term. Defined scope: areas, spot and gum treatment included, entrance-matting service if wanted. After-hours access terms and COI kept current with your building — the plumbing of it all. A named account contact. And a service report after every visit with before/after photos: the paper trail that proves the budget line earns its keep.
